This page explains how users can request deletion of personal data that QualifyBase (operated by Cet Tech LLC) has received from Meta Platforms (Facebook, Instagram, Messenger, WhatsApp Business) and other integrated services, as well as any other personal data we hold about you.
These instructions are provided to comply with the Meta Platform Terms and applicable privacy laws (including GDPR, CCPA/CPRA, and similar regulations). If you have already read our Privacy Policy, this page is a focused summary of the deletion process.
1. What Data We May Hold About You
Depending on how you interacted with QualifyBase or with a business that uses QualifyBase, we may hold:
- Meta platform data (if you sent a message via Facebook Messenger, Instagram Direct, or WhatsApp Business to a business that uses QualifyBase): your platform user id, message content, timestamps, and any media attachments you sent.
- Contact data: name, phone number, email address, city, country, and any other fields the business collected during the conversation.
- Call data (if you spoke with an AI voice agent): the audio recording and transcript of the call, call duration, and metadata.
- Appointment data: any appointments booked through QualifyBase.
- Account data (if you signed up as a QualifyBase Customer): your account profile, team membership, agent configuration, and billing information.
2. Who Controls Your Data
If you contacted a business (for example, a dental clinic or health tourism agency) through one of its channels, that business is the data controller of your information, and QualifyBase acts as a data processor on its behalf. In that case, your deletion request should be directed to the business first. However, you can also contact us directly and we will coordinate the deletion with the business.
If you are a QualifyBase Customer (you signed up for an account at qualifybase.com), Cet Tech LLC is the data controller for your account data.
3. How to Request Deletion
You have two options:
Option A — Disconnect the integration (Customers only)
If you are a QualifyBase Customer who connected a Facebook Page, Instagram account, WhatsApp Business account, or Google Calendar:
- Sign in to QualifyBase at https://qualifybase.com/login.
- Go to Setup → Channels (for Meta integrations) or Setup → Calendar (for Google).
- Click Disconnect on the integration you want to remove.
- This immediately revokes QualifyBase's access to the platform and deletes the stored OAuth tokens. You can then also remove QualifyBase from your Facebook Business Integrations.
Disconnecting an integration stops new data from flowing in, but previously collected messages remain in your QualifyBase dashboard until you delete them or delete your account. To delete all historical data, use Option B below.
Option B — Email us a deletion request (anyone)
Send an email to info@cettechventure.com with the subject line “Data Deletion Request” and include the following information so we can locate your data:
- Your full name.
- The email address, phone number, Facebook user id, Instagram handle, or WhatsApp number associated with the data you want deleted.
- The name of the business you contacted (e.g. the dental clinic or agency), if known. This helps us find the right organization within our multi-tenant database.
- A brief description of the data you want deleted (e.g. “all messages and call recordings”, “my account and everything linked to it”, “only the data received from Instagram”).
For verification purposes, please send the request from the email address associated with the data whenever possible. If you cannot, we may ask for additional verification before processing the request, to protect you against unauthorized deletions.
4. What Happens Next
- We will acknowledge your request within 3 business days.
- We will locate and permanently delete the personal data from our primary systems (database, object storage, logs) within 30 days of receiving your verified request.
- Encrypted backups containing the data will be overwritten in the normal rotation cycle, typically within 30 days.
- Where QualifyBase acts as a processor on behalf of a business Customer, we will instruct that Customer to delete the data from their end if they have exported it.
- Once deletion is complete, we will send you a confirmation email.
5. Data We May Retain
Even after a deletion request, we may retain a limited amount of information where required by law or for legitimate business purposes. This may include:
- Billing and tax records (typically 7 years, as required by accounting regulations).
- Security and audit logs needed to detect fraud or abuse (up to 12 months).
- Data that we are legally required to preserve (for example, in response to a valid court order or regulatory investigation).
Any retained data remains protected by the safeguards described in our Privacy Policy and is not used for any purpose other than the specific legal or compliance obligation that required its retention.
